What are the ID requirements?

Is RON legally recognized?
Yes, Remote Online Notarization is legally recognized in Illinois and carries the same legal weight as a traditional paper-based notarization.

Do I need to bring my own device?
No, we provide the secure platform and device required to execute the electronic signatures and digital seal.

Can I sign the document before we meet?
No. To maintain legal integrity, all documents must be signed in the physical presence of the notary.


What if my document requires witnesses?
Please notify us in advance. We can assist in ensuring the proper number of disinterested witnesses are present to meet legal requirements.

Is this legal for all loan types?
Most modern lenders accept digital closings (e-Closings), but you should confirm with your lender that they support "Full Remote Online Notarization (RON)" or "Hybrid" execution before booking.

How is the "Original" document stored?
The digitally signed and sealed PDF acts as the legal original. We recommend storing this in a secure digital vault and providing access to your designated successors.


What happens if I fail the identity check?
To protect your legacy, we maintain a zero-tolerance policy for identity discrepancies. Failure to meet the Knowledge-Based Authentication (KBA) or Identification requirements results in immediate session forfeiture.

General Terms of Service

Section A: Payment & RetainersInitial Retainers:
All administrative audit fees, session fees, and coordination retainers are non-refundable as they cover platform costs and the pre-session document audit.
Invoicing:
Services are billed via Square and must be paid in full to activate the service bridge or receive secure a live session link.
Logistics:
Physical shipping, courier services, and hard-copy requests will incur separate fees via a secondary invoice.


Section B: Travel & In-Person ConductTravel & Mobile:
In-person sessions are subject to a convenience fee based on location and time, which must be paid as a retainer prior to dispatch.
ID Audit:
A valid, government-issued photo ID is required for all sessions. Failure to produce this results in immediate cancellation and forfeiture of the travel fee.


Section C: Cancellation & ForfeitureThe 2-Hour Rule:

Travel & Mobile Policy


Travel & Mobile Terms:
All mobile and in-person executions require physical documents or a compatible digital device ready at the time of the appoinment.


Convenience Fee:
This session is subject to a travel and convenience fee based on your location and the time of service, which must be paid as a retainer prior to dispatch.


Physical Identification Audit:
We maintain a zero-tolerance policy for identity discrepancies. The Notary will perform a physical ID audit upon arrival. Failure to produce a valid, government-issued photo ID results in session forfeiture and loss of the travel fee.

Digital Policy

The 2-Hour Window:
Documents must be uploaded to the secure vault within 2 hours of booking or the slot will be purged to protect the schedule.


Identity Thresholds:
Successful Identity Proofing (IDP) and Knowledge-Based Authentication (KBA) are legal requirements. Failure to meet these thresholds results in automatic session forfeiture.


Illinois Residency:
Per the Illinois Electronic Wills and Remote Witnesses Act, all participants for estate executions must be physically located within Illinois during the live session.

Privacy & Vaulting Policy

Section A: Data Collection & AuditingThe Vault:
All document previews, ID scans, and loan packages are uploaded to a secure digital hub for a pre-execution audit.
Purpose of Use:
Data is used strictly for identity verification, document preparation, and federal/state compliance.


Section B: Biometric Data (Fingerprinting)Biometric Capture:
Fingerprint data and identity paperwork are handled in accordance with federal standards for FBI background checks.
Accuracy:
While we aim for a zero-rejection signal, the final determination of capture quality is made by the federal vault.


Section C: Recording & Retention:Video Disclosure:
Per the Illinois Electronic Wills and Remote Witnesses Act, remote sessions for estate planning are recorded and preserved for a minimum of 3 years.
Purge Policy:
All other client documents are retained only as long as necessary to complete the service or meet statutory requirements before being purged.
